Having the correct documents ready before your cargo arrives is the single most important factor in fast customs clearance. Missing or incorrect paperwork causes delays, demurrage charges, and potential penalties.
Essential Import Documents
1. Commercial Invoice ✅
The most important document. Must include:
- Supplier and buyer names, addresses
- Invoice number and date
- Detailed product descriptions (not just "goods" or "samples")
- Quantity and unit price
- Total value and currency
- Incoterms agreed
- Country of origin of goods
- HS codes (helpful but your clearing agent will verify)
2. Packing List ✅
Detailed breakdown of the shipment:
- Number of packages (cartons, pallets, crates)
- Contents of each package
- Gross and net weights
- Dimensions
- Package marks and numbers
3. Bill of Lading (Sea Freight) ✅
Or Airway Bill for air freight. This is the contract of carriage and proof of shipment. Contains:
- Shipper and consignee details
- Port of loading and discharge
- Description of goods
- Container numbers (sea freight)
- Weight and volume

4. Certificate of Origin ✅
Proves where goods were manufactured. Critical for:
- Preferential duty rates under trade agreements (SADC, EU EPA, SACU)
- Determining which duty rate applies
- Country-specific regulations
5. Import Permit ✅ (if required)
Some goods need a permit before customs clearance is possible. Check permit requirements →

Common Document Mistakes
- Generic descriptions — "Electronics" instead of "LCD monitors, 24 inch, brand X, model Y"
- Missing values — Every item must have a declared value
- Inconsistent documents — Invoice says 100 cartons but packing list says 95
- Wrong currency — Invoice in USD but values don't match the exchange rate
- Unsigned documents — Originals should be signed
- Missing marks and numbers — Container/package marks should match across all documents
