Before You Start Importing
- ☐ Register with SARS as an importer (DA 185 form)
- ☐ Obtain a customs code from SARS
- ☐ Register for VAT (if turnover exceeds R1 million)
- ☐ Appoint a clearing agent (V & S Freight)
- ☐ Check if your product requires an import permit
- ☐ Check NRCS compulsory specifications for your product category
- ☐ Arrange cargo insurance
Before Each Shipment
Documents From Your Supplier
- ☐ Commercial invoice (value, description, HS codes)
- ☐ Packing list (packages, weights, dimensions)
- ☐ Certificate of origin (for preferential duty)
- ☐ Bill of lading or airway bill
- ☐ Quality/inspection certificates (if required)
- ☐ MSDS/SDS (for dangerous goods)
Documents You Prepare
- ☐ Customs clearing instruction to V & S Freight
- ☐ Import permit (if applicable)
- ☐ Letter of credit documents (if paying by L/C)
- ☐ Delivery address for door delivery
Verify Before Shipping
- ☐ HS code is correct (affects duty rate)
- ☐ Invoice values are accurate and match B/L
- ☐ Weight and volume are correct
- ☐ Incoterms are clearly stated
- ☐ Container type suits your cargo
- ☐ Supplier knows your customs requirements

Before You Start Exporting
- ☐ Register with SARS as an exporter
- ☐ Obtain export customs code
- ☐ Check if your product requires an export permit
- ☐ Register with relevant industry body (if required)
Before Each Export Shipment
- ☐ Commercial invoice to buyer
- ☐ Packing list
- ☐ Bill of lading or airway bill (from carrier)
- ☐ Certificate of origin (for buyer's preferential duty claims)
- ☐ Customs export declaration (SAD500)
- ☐ Export permit (if applicable)
- ☐ Dangerous goods declaration (if DG)
- ☐ Phytosanitary certificate (agricultural exports)
